Privacy notice
What we do with the information you give us, why, and how long we keep it.

Who we are
HK Properties is a trading name of HKNW Properties Limited, a company registered in England and Wales, company number 15900386, registered office 558 Warrington Road, Rainhill, L35 4LZ.
We are the data controller for the information described here. If you have a question about it, email info@hkproperties.co.uk or call 07534 900611.
What we collect
When you make an enquiry — through the form on this site, by phone, by WhatsApp or by email — we collect:
- Your name and the organisation you work for, if any
- Your phone number and email address
- The postcode, and where relevant the address, of the property
- What the job is, when you want it done and how you prefer to be contacted
- Anything else you choose to tell us about the work
- Photographs of the property, if you send them
If you go on to become a customer we will also hold quotations, invoices, payment records, certificates and correspondence about the work.
Information about health
Some of our work is accessible and adapted bathrooms, including Disabled Facilities Grant and council-funded adaptations. An enquiry of that kind may involve telling us about someone’s health, mobility or care needs.
That is special category data under UK data protection law and it gets extra protection. We ask for it only where it is necessary to design and price the work safely and correctly, we tell only the people who need it in order to carry out the job, and you should share only what you are comfortable sharing. If you would rather discuss it on the phone than write it on a form, that is completely fine.
Why we use it, and our lawful basis
- To answer your enquiry and prepare a quotation. Taking steps at your request before entering a contract.
- To carry out the work and manage the job. Performance of our contract with you.
- To keep accounting and tax records, and issue certificates. A legal obligation.
- To run and improve the business — for example keeping a record of quotations given. Our legitimate interests, balanced against your rights.
- Health and mobility information, where you provide it, is handled on the basis of your explicit consent, or where the work is commissioned by a council or health body, on the basis they set out.
We do not use your details for marketing, we do not add you to a mailing list, and we do not sell or trade your information to anyone.
Who we share it with
Only where it is needed to do the job:
- Suppliers and merchants, for ordering and delivering materials
- Any subcontractor working on your job
- Councils, occupational therapists or grant administrators, where the work is funded or commissioned by them
- Building control and certification bodies, where a job needs notifying or certifying
- Our accountant, and HMRC
- The providers of our email, phone and website services, who process data on our behalf
We will disclose information if the law requires it. Otherwise we do not.
If you contact us on WhatsApp, your message and any photographs are also held on WhatsApp’s systems under their own terms and privacy policy, which we do not control. Messages between us are end-to-end encrypted. If you would rather not use WhatsApp, phone and email work just as well.
How long we keep it
- Enquiries that do not become jobs — 6 months, then deleted.
- Customer and job records — 6 years. Accounting records must be kept six years for tax, and six years is also the period during which a claim about the work could be brought.
- Health and mobility information — deleted once the job is complete and signed off, unless we are required to keep it as part of a grant-funded record.
Keeping it safe
We keep information on password-protected devices and accounts, we limit access to the people who need it, and we do not leave paperwork containing personal details on site or in the van overnight.
Your rights
You have the right to ask us for a copy of the information we hold about you, to have it corrected if it is wrong, to have it deleted, to restrict or object to how we use it, and to have it transferred to someone else. Where we rely on your consent, you can withdraw it at any time.
Email info@hkproperties.co.uk and we will respond within one month. There is no charge.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would rather you came to us first so we can put it right.
Cookies
This website sets no cookies and uses no analytics or tracking. Web fonts are loaded from Google Fonts, which means your browser makes a request to Google’s servers when a page loads. If analytics are added in future this notice will be updated and a cookie banner added.
Changes
If we change how we handle personal information we will update this page and change the date at the top.
